1. POSITION VACANT: Accounts Assistant, Institute for Sustainable Communities, New Delhi

 

2. ORGANIZATION BACKGROUND:

 

Founded in 1991, the Institute for Sustainable Communities (ISC) is an international not-for-profit organization, that helps communities around the world address environmental, economic and social challenges, to build a better future, shaped and shared by all.

 

Headquartered in Vermont, USA, ISC, has its India offices in Delhi, Mumbai and Pune. Indian operations include of a Private Limited, Commercial arm as well as a Section 8, Non-profit arm.

PURPOSE OF THE POST:

 

ISC wishes to recruit an outstanding professional, to fill the vacancy for Accounts Assistant (AA). The post-holder shall support all accounting, taxation, and compliance matters.

 

3. JOB DESCRIPTION/ RESPONSIBILITIES:

 

Reporting to the Director-Finance & Operations, the Accounts Assistant shall be responsible for the following:

 

Key Roles and Responsibilities:

 

Accounting & Compliance

 

(A) Maintain Books of Accounts

(1) Maintain updated books of account in Tally;

(2) Verify that all expenditures are incurred with proper approval and in accordance with legal requirements, donor requirements and ISC’s Field Operations Manual;

(3) Review monthly expenses against project budgets.

 

(B) Payroll Services

(1) Maintain appropriate payroll records and documents;

(2) Collect and maintain the required information from all employees for the registration of the employees as applicable under the labour laws and for the purpose of processing complete and accurate HR records;

(3) Calculate and deduct accurate TDS on the basis of documents collected from staff;

(4) Prepare and distribute Form 16, or any other form, as prescribed by the Govt. from time to time, to the employees within due dates.

 

(C) MIS and Other Financial Reports

(1) Prepare monthly financial reports, project budget utilisation reports and bank reconciliation statements, on a monthly basis;

(2) Prepare cash flow projections and cash calls on a monthly basis;

(3) Prepare monthly expense statements for ISC’s US office to be submitted along with scanned copies of all records;

(4) Reconcile GSTR-2A on a monthly basis;

(5) Track and highlight as per prescribed timelines, the key financial, accounting and compliance indicators, on a regular basis;

(6) Prepare annual financial statements (viz. Receipt and Payment Account, Income and Expenditure Account and Balance Sheet).

 

(D) Statutory Payments and Returns

(1) Ensure that all taxes (including Advance Tax, TDS and GST) are properly calculated, deducted and deposited on time with the Government;

(2) File TDS Quarterly Returns and issue TDS certificates within due dates;

(3) File monthly GST Returns.

 

(E) Others

(1) Maintain all files in an organized manner;

(2) Ensure that all fixed assets and inventories, if any, are properly recorded and accounted for in the books of account. Also, maintain Fixed Asset Register;

(3) Track all contractual payments on a regular basis;

(4) Review sub-awards and verify utilizations statements submitted by grantees;

(5) Assist with filing of RoC and RBI returns;

(6) Assist with minor administrative chores;

(7) Any other tasks as may be assigned, from time to time.

 

4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:

 

Qualifications:

Applicants must have Bachelor’s/ Master’s Degree in Commerce, or be a CA-Intermediate.

 

Experience:

(1) Minimum five years of experience in book-keeping, taxation, etc.;

(2) Knowledge of RoC and RBI compliances will be an advantage;

(3) Knowledge of FCRA, USAID requirements will be an added advantage;

(4) Applicants who have worked with international teams in the past, shall be given preference.

 

Essential Skills and Competencies:

(1) Expertise in Tally or other accounting software;

(2) Excellent computer skills, particularly in MS Excel;

(3) Strong knowledge of accounting, taxation, TDS, GST and Advance Tax;

(4) Ability to multi-task, along with a strong, result-oriented approach;

(5) Ability to meet deadlines and effectively prioritize tasks under time constraints;

(6) Manage tasks with considerable independence, competence and discretion;

(7) Ability to communicate effectively in English and Hindi;

(8) Flexibility to work-from-home and work-from-office, as required

(9) Willingness to travel (~ 10% of the time).

 

5. COMPENSATION OFFERED:

 

Gross compensation budgeted for the position is Rs.6 lacs per annum. The actual offer made to the selected candidate shall be commensurate with qualifications, experience and salary history.
