1. POSITIONS VACANT: Executive Assistant, Alliance for an Energy Efficient Economy, New Delhi.

 

2. ORGANIZATION BACKGROUND:
 

Incorporated in 2008, the Alliance for an Energy Efficient Economy (AEEE) is an industry led, membership based Indian non-profit organization, that drives energy efficiency markets and policies in India.

 

AEEE is the only organisation in India which works on creating awareness about energy efficiency as a resource. The organization aims to transform India into a global leader in the field of energy efficiency, by reducing the country’s energy intensity. AEEE is working towards making India a globally competitive and environmentally sustainable economy and one of the most attractive markets for companies, with the best available energy efficient technologies. The organization also provides a convening platform for Government and Industry to engage in a constructive dialogue, for the design and implementation of more effective and impactful policies.

 

Over the years, major foundations, as well as bilateral and multilateral agencies, have helped AEEE grow, as well as undertake projects in the area of energy efficiency policy advocacy and business enablement, with emphasis on knowledge products and the creation of more effective and credible platforms.

3. JOB DESCRIPTION/ RESPONSIBILITIES:

 

Reporting to the President and Executive Director (Secretary of the Executive Council), AEEE, the Executive Assistant shall be responsible for providing a full range of secretarial/ administrative support by exercising confidentiality, tact and diplomacy.

 

Key Deliverables:
(1) Planning, coordinating and documenting the Annual General Meeting and multiple committee governance meetings (e.g. Executive Council, Management, Finance and Audit, HR and Compensation, Projects and Programme and any other committee established by the Executive Council) throughout the year as and when required;
(2) Responsible for communicating directive and information from the Executive Director to Directors, Managers and others in the organization and follow up on the status of the tasks assigned;
(3) Assisting the Executive Director in preparing monthly reports for management committee meetings and presentation(s) for Executive Council and annual general meeting(s);
(4) Working with the AEEE Legal Counsel to plan and preparing for all governance meetings including preparing the agenda, circulating monthly/quarterly reports, tracking the action items from the meeting minutes, advance preparation of any resolutions, recording of meeting minutes and its timely circulation and ensuring that any statutory and compliance related actions with respect to Societies Act are adhered and addressed timely and accurately;
(5) Maintaining a comprehensive and current database of, excellent and cordial relationships with front offices of companies of interest to AEEE in general and CEOs and MDs of AEEE member companies in particular, with government ministries and senior bureaucrats offices at the central, state and city government levels, front offices of peer civil society organizations, industry associations and research centers/ organizations in India and internationally;
(6) Arranging and coordinating travel and accommodation arrangements for the Executive Director and Executive Council members when traveling on business purposes related to AEEE;
(7) Maintaining calendar, files, records, memos, notes and any other official communication and documentation for the Executive Director;
(8) Receiving, screening and directing incoming calls, visitors, mail and email (where necessary and approved) and any other communication for the Executive Director;
(9) Working closely and coordinating actions and tasks with the Operations (finance and accounts, office admin and HR), marketing and communications and research and technical teams to maintain high level of efficiency within AEEE.

 

4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:

 

Qualification:
Bachelor’s degree in administrative support or related discipline/degree.
 

Experience:

(1) At least 8-10 years of experience of working as an Executive Assistant;
(2) Prior experience of supporting the head of a non-profit or development sector organization or a bi-lateral project office would be desirable.
 

Skills and Competencies:

(1) Strong communication and interpersonal skills (via phone, email and in-person);
(2) Excellent organizational skills with an ability to think proactively and prioritize work;
(3) Proficient in MS Office, Google office suite, Gmail, Drive and Calendar ;
(4) Experience in using office equipment including printers, fax machines, tele- and video-conferencing equipment, setting up and conducting webinars etc.;
(5) Ability to prioritize work and perform under tight timelines;
(6) Highly motivated individual with excellent attitude, ability to address and complete multiple tasks and activities concurrently;
(7) Well organized, meticulous with great attention to detail;
(8) Great follow up skills with persistent and yet pleasant demeanour;

(9) Self-motivated and ability to work in a fast paced, goal-oriented and ability and willingness to get things done kind of environment.
 

5. COMPENSATION OFFERED:


The offer made to the selected candidate shall be commensurate with qualifications, experience and salary history.
