1. POSITION VACANT: Head of Finance, Leading CSR Foundation, Mumbai, Maharashtra

 

2. ORGANIZATIONAL BACKGROUND:

 

Our client is the CSR Foundation of a large, well-known corporate, and is doing stellar work for creating an equitable world, while ensuring support and care for every human life through different partnerships.

 

Our client works in close association with credible institutions, non-government organisations, government agencies and domain experts, to implement a number of high impact and publicly lauded social initiatives.

 

3. JOB DESCRIPTION/ RESPONSIBILITIES:

 

Reporting directly to the Head of the Foundation, the Head of Finance (HoF) shall be responsible for heading the finance function for the Foundation and its associated trusts, within the purview of CSR/ Grant making regulations, with accountability for overseeing all finance and accounting matters, as well as technology integration and reporting requirements.

 

The HoF shall manage and control the annual CSR budget of the parent corporate and its subsidiaries and ensure that all spends are aligned with the group’s CSR policy and objectives, and compliant with applicable statutory regulations. S/he shall have complete responsibility for accounting and finance, internal controls, governance, relationship-building and management of concerned members of partner organisations, and capacity/ capability-building, driving technology integration & CSR compliance. The HoF will also hold functional responsibility for accounts payable, accounts receivable, and payroll matters.

 

The post-holder will work closely with programme teams and implementing partners, not only to build capacity about finance and accounting processes and procedures but also to synergise the finance function with that of operations. Also, provide professional advise/ mentoring/ coaching to staff and support senior professionals in the day-to-day operations.

 

Key Job Responsibilities:

 

(A) Accounting and Finance

 

(1) Prepare the annual CSR budget, ensuring that the funds allocated align with statutory compliances and business objectives;

(2) Monitor all CSR spends on a monthly basis, highlighting variances in order to make course corrections, if necessary;

(3) Forecast expenses for the remaining part of the FY, on the basis of feedback received from the Operations team, for maintaining spends as per mandates;

(4) Oversee the monthly closing of accounts, BRS and Ledgers to maintain accounting hygiene;

(5) Establish and update financial processes and SOPs, for the better financial management of the Foundation and that of its key stakeholders, such as partners,;

(6) Approve and ensure timely payments to partners, vendors, etc., to ensure work completion as per plan;

(7) Manage the investment of surplus funds to ensure that best returns are garnered for idle funds;

(8) Develop and implement processes that ensure only appropriate and relevant costs are booked in accounts, enabling clean and accurate reporting and accounting;

(9) Avail guidance of consultants and experts in trust related accounting, so as to ensure compliance.

 

(B) Internal Controls & Governance

 

(1) Develop and monitor accounting and financial policies to ensure audit readiness;

(2) Create frameworks and policies for CSR Foundation grants to partners, to ensure that the partners are aligned with reporting and governance requirements;

(3) Execute pre-grant due diligence of potential partners to ensure that the organization conforms with statutory requirements and that budgets proposed are aligned with intended objectives;

(4) Plan and periodically review the grant utilization of projects to ensure that they adhere to operational deliverables, and finances are as per applicable guidelines.

 

(C) Statutory Compliance & Internal Audit

 

(1) Plan and execute the timely filing of all statutory returns, including but not limited to Income Tax, TDS, Charity Commissioner returns, etc.;

(2) Remain abreast of changes to the Maharashtra Public Trust Act. CSR Rules and Guidelines, Income Tax rules and regulations and their applicability to the Foundation;

(3) Liaise with regulatory agencies, address all cases of Income Tax scrutiny, refunds, etc.;

(4) Plan and prepare the Finance sections of CSR Report and Business Responsibility Report and review the overall reports;

(5) Plan and support the Annual Statutory Audit, in order to bring it to a satisfactory closure.

 

(D) Managing Finances of Associated Trusts

 

(1) Prepare and monitor annual budgets of all trusts of the group, ensuring that funds are allocated and utilized in line with defined objectives;

(2) Oversee the entire accounting process and have the final annual accounts approved by Trustees;

(3) Develop the accounting and finance policies and handhold in addressing operational issues;
(4) Plan and ensure timely filing of all statutory returns of all group trusts;

(5) Plan and support Annual Statutory Audits and satisfactory closure of all group trusts.

 

(E) Strategy Execution

 

(1) Examine the Foundation’s vision/ policies and plans and update these in close consultation with the senior management;

(1b) To have control on different IT processes within the Foundation including upgradation of software/ application basis the need.

(2) Monitor and control the execution of projects in line with the guidance of CSR Committee of Board;

(3) Interact with finance teams of partner organizations to ensure adherence and systemic strengthening, where necessary;

(4) Empanel and periodically review the performance of vendors who provide services to the Foundation;

(5) Undertake cost saving measures and vendor negotiations with emphasis on expenses incurred on travel, procurement, and associated services;

(6) Strategize and lead technology integration, review efficacy of different software for governance and cost-benefit used by the Foundation.

 

4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:

 

Qualification

(1) MBAs in Finance, or equivalent, with demonstrated experience of the execution of listed accountabilities in previous roles;

(2) Chartered Accountants shall be at an advantage.

 

Relevant Experience:

(1) 20+ years of experience in managing Finance, IT & Compliance function, including five years with / closely aligned with a development sector organization;

(2) Demonstrated experience in Trust/ Donor/ Foundation Management, accounting and financial monitoring;

(2) Strong experience in coordinating audit activities and managing reporting, accounts

payable and receivable, general ledger, payroll, etc.;

(3) Commitment to recruiting, mentoring, training, and retaining a diverse team, with the

foresight and ability to delegate accordingly;
(4) Prior experience of people and team management;
(5) Ability to interact with management at CXO (and Board of Directors) level;
(6) Strong partnership management experience;
(7) Successful track record of manging a team of five or more professionals.

 

Functional Skills
(1) Good knowledge of Excel, Word and PowerPoint;
(2) Good working experience of Tally and working  knowledge of SAP;

(3) Experience of developing and using monitoring and reporting systems;

(4) Analytical skills to review reports, interpret, provide narrative analysis and follow up with appropriate action;
(5) Experience in leading and coaching a team and working closely with the organization’s

Leadership/ Executive teams, is essential.

 

Behavioural Skills:
(1) Highly numerate, strong accounting knowledge and analytical/ problem solving skills;

(2) Able to train/ support non-finance people on financial topics including budgeting and internal controls;
(3) Fluency in spoken and written English language and the local language;
(4) Personal qualities of integrity, credibility, and unwavering commitment to the Foundation’s mission.
