1. POSITION VACANT: Administrative Officer, Centre for Catalyzing Change, New Delhi

2. ORGANIZATION BACKGROUND:

Centre for Catalyzing Change (formerly CEDPA India), is a non-profit organization, focused on improving the lives of women and girls in India by equipping, mobilizing, educating and empowering women and girls, to achieve gender equality.

Centre for Catalyzing Change (C3) helps create and increase educational and livelihood opportunities for adolescent girls, by ensuring access to lifesaving reproductive health information and services and strengthening their ability to become leaders in their communities and the nation. Working in partnership with communities, C3’s proven approach is to develop and give women, young girls and boys the tools they need to improve their lives, as well as that of their families and communities.

C3 is implementing a number of advocacy and intervention programmes at the grassroot, state and national levels in the areas of Youth, Reproductive Rights and Gender & Governance. Programmes include a large evidence to policy initiative that involves the generation of robust data and evidence on diverse aspects of women’s empowerment, combined with policy advocacy and technical support to concerned Government Departments in Bihar.

3. JOB DESCRIPTION/ RESPONSIBILITIES:

Reporting to Director - Operations, the Administrative Officer shall be responsible for all administrative operations of the organization and ensure the smooth day-to-day running of the office operations.

Key Roles and Responsibilities:
(1) Ensure front-desk reception is managed in a professional manner;
(2) Manage Travel Desk i.e. booking/ cancellation of tickets/ hotel/ taxi etc. for staff and consultant’s/ conference participants;
(3) Provide necessary support during official events/ workshops etc.;
(4) Ensure IT infrastructure, office facilities and equipment are maintained and remain insured;
(5) Ensure office supplies are managed in a cost-effective and efficient manner (good tracking system);
(6) Ensure documentation of important documents are properly filed (in both printed and electronic form);
(7) Manage overall office communication and IT (e.g. arrange or coordinate conference calls, etc.);
(8) Manage overall operations i.e. office renting, security services, security plans, cleanliness, etc.;
(9) Plan, monitor and manage budgets and costs effectively;
(10) Monitor/ manage/ update vendor database, including tracking and recording of their performance, etc.;
(11) Procure/ Manage asset inventory;
(12) Any other duties, as assigned by the supervisor.

4. QUALIFICATIONS, EXPERIENCE AND COMPETENCIES:

Qualifications:
Applicants must have completed their post-graduation/ graduation.

Experience:
(1) Four to Six years of experience in managing administrative responsibilities for a reputed organization;
(2) Prior experience with non-profit organizations will be an advantage.

Skills and Competencies:
(1) Good knowledge of computers - Windows and Microsoft Office applications (Outlook, Word, Excel);
(2) Fluency in Hindi and English languages (both written and verbal), will be an advantage.
